Can we have an honest conversation about invoicing? Because I know what’s happening.
You finish a session, or a block of sessions, and then at some point (probably late on a Sunday evening when you remember) you open up a spreadsheet or a PayPal page, type in the amount, send it off, and then spend the next week wondering whether they’ve paid yet and whether it’s too early to chase.
Or maybe you’ve got a slightly fancier system.
Maybe you use an invoicing tool but still create each invoice manually.
Maybe you copy and paste from last month’s and change the date.
Maybe you’ve got a recurring student who’s been paying you the same amount monthly for two years and you are still, every single month, pressing “send” on an invoice you could have automated eighteen months ago.
I am not judging. I did the same thing for far too long.
But this week, we stop!
Your task is to set up one key automation. You get to choose which one, because it depends on where your biggest time leak is. There are two options.
Option one: auto-invoicing.
If you have students on regular, recurring schedules paying the same amount each month, set up recurring billing. Stripe and PayPal both offer this. So does Wise. The student agrees once, the payment happens automatically, and you never have to send that invoice again.
The point: remove yourself from the process wherever possible.
Option two: a client onboarding workflow.
If invoicing isn’t your biggest headache, maybe onboarding is. Think about what happens when a new student signs up.
Do you send a welcome email?
Share a needs analysis form?
Send login details for whatever platform you use?
Set up their first session?
If you’re doing all of that manually, step by step, for every new student, you can automate most of it with a tools like Zapier. New client fills in a form, Zapier sends the welcome email, shares the calendar link, creates a folder for their materials. You do nothing except show up for the first session.
Now, I realise the word “automation” can sound intimidating if you’ve never done it before. So let me be clear: you do not need to build anything complicated. You need one thing that removes one repetitive task from your week.
If all you do this week is set up recurring PayPal invoices for your three regular students, that counts. That’s three invoices a month you will never manually send again.
It’s not glamorous, but it’s time you’ve permanently reclaimed.
The freelancers who scale beyond trading hours for money all have one thing in common. They stopped doing things manually long before they felt “ready” to automate. They were clunky about it. They used free tools. They watched a YouTube tutorial at midnight. But they did it, and the time came back.
Your task this week:
Choose one automation. Either set up recurring invoicing for your regular clients or build a simple onboarding workflow for new ones. Just one. Get it working. Test it. Then enjoy the strange, quiet pleasure of something happening in your business without you having to lift a finger.
